Paper Submission Guidelines
Welcome to SPICES 2026
Instructions to Authors – IEEE SPICES 2026
Paper Submission
- All submissions must be written in English.
- Submitted papers must present original, unpublished research and must not be under review elsewhere.
- All papers must be submitted electronically in PDF format through the official submission portal.
- The maximum length of a full paper is 6 pages, including text, figures, tables, and references.
- Authors are encouraged to utilize the allowed page limit effectively to clearly explain their work.
- The conference proceedings will be submitted for inclusion in the IEEE Xplore® Digital Library, subject to IEEE approval.
Manuscript Preparation
- Manuscripts must be prepared in double-column, single-spaced IEEE conference format.
- Authors must use the official IEEE conference templates (LaTeX or MS Word) available at: https://www.ieee.org/conferences/publishing/templates.html
- Both source files (Word/LaTeX) and a PDF file are required upon submission.
- The content of the source file and the PDF file must match exactly.
- File size must not exceed 10 MB.
- All authors must be listed in both the source file and the PDF file.
- Manuscripts should be thoroughly reviewed for grammar and clarity before submission.
- Papers with poor language quality may be rejected without review.
- Authors are encouraged to check manuscripts using Paperpal Preflight (IEEE partner) prior to submission.
Special Sessions
- IEEE SPICES 2026 will include Special Sessions on emerging and highly specialized research areas within the conference scope.
- Special Sessions are proposed and organized by domain experts following procedures published on the conference website.
- Papers submitted under Special Sessions will undergo the same peer-review process as regular papers.
Ethics, Originality, and AI Disclosure
- All submissions will undergo a mandatory plagiarism check as per IEEE policies.
- Papers with a similarity index ≥ 30% are liable to be rejected without further review.
- The use of AI-generated content must be disclosed in the Acknowledgements section.
- Sections containing AI-generated text must include a proper citation of the AI tool used.
- Author lists must strictly adhere to IEEE authorship guidelines.
- Contributors not meeting authorship criteria must be acknowledged appropriately.
- Adding or removing authors after paper acceptance is not permitted and constitutes a breach of publishing ethics.
Review Process
- All submissions will be evaluated through a single-blind peer-review process.
- Reviews will be conducted by the Technical Program Committee.
- Evaluation criteria include:
- Originality
- Technical quality and depth
- Relevance to conference themes
- Clarity of presentation
- Significance of contribution
Registration, Presentation, and Publication
- For an accepted paper to be included in the conference proceedings and submitted to IEEE Xplore®, the following conditions must be met:
- Submission of the final camera-ready paper
- Completion of the IEEE copyright transfer
- Payment of at least one full author registration per paper
- Presentation of the paper at the conference
- Each accepted paper requires a separate registration.
- Authors must incorporate reviewers’ comments and submit the final revised manuscript within the specified deadline.
