Camera Ready Paper Submission Guidelines

Submission Deadline: 31 August 2026

Step 1: Final Camera Ready Paper Preparation

  1. Prepare the final manuscript strictly in the IEEE two-column A4 conference format.
  2. Carefully address all reviewers' comments and revise the manuscript accordingly before submitting the final Camera Ready Paper.
  3. The maximum paper length is six (8) pages, including figures, tables, and references. Author biographies should not be included.
  4. The manuscript should have a similarity index below 20%.
  5. The final manuscript must be submitted in Adobe PDF (.pdf) format without encryption or password protection.
  6. Do not change the title of the accepted paper in the final manuscript.
  7. The author names, order, and affiliations must remain the same as those in the accepted submission. Any changes require prior approval from the conference.

Step 2: Generate an IEEE Xplore®-Compatible PDF

The final paper must be converted into an IEEE Xplore®-compatible PDF using the IEEE PDF eXpress service. PDF files generated without using IEEE PDF eXpress may not comply with IEEE Xplore requirements and may be rejected.

IEEE PDF eXpress Instructions

  1. Visit https://ieee-pdf-express.org/.
  2. Create an IEEE PDF eXpress account (or log in if you already have one).
  3. Enter the following Conference ID: 70425X
  4. Upload the source files of your Camera Ready Paper (DOC, DOCX, LaTeX, etc.) for conversion. Alternatively, you may upload your PDF to verify IEEE Xplore compliance.
  5. Download the IEEE PDF eXpress-approved PDF after successful conversion or compliance verification.

Only the IEEE PDF eXpress-approved PDF should be submitted through CMT.

Step 3: Camera Ready Paper Submission

  1. Log in to the Author Console in CMT.
  2. Upload the IEEE PDF eXpress-approved Camera Ready PDF.
  3. Before uploading, rename the file using the following format: SPICES_XXXX.pdf
    where XXXX is the 4-digit Paper ID assigned in CMT.

    Example:
    • Paper ID 9 → SPICES_0009.pdf
  4. Ensure that the uploaded manuscript is the final version and that the paper title and author list are identical to the accepted submission.

Important: Camera Ready Papers that are not renamed according to the above convention may be returned for correction.

Step 4: IEEE Electronic Copyright Form Submission

  1. After uploading the Camera Ready Paper in CMT, click "Submit IEEE Copyright Form."
  2. You will be redirected to the IEEE Electronic Copyright Form (eCF) website.
  3. Complete the copyright form by following the on-screen instructions.
  4. After submission, download the completed IEEE Copyright Form (PDF).
  5. Return to CMT and upload the downloaded copyright form in the designated section ("Drop files here").
  6. The corresponding author may complete and submit the copyright form on behalf of all co-authors.

Note: The corresponding author will also receive the IEEE Copyright Form submission link via email.

Final Submission Checklist

Before completing your submission, ensure that:

  • The manuscript follows the IEEE two-column A4 conference format.
  • The paper does not exceed 8 pages.
  • The similarity index is below 20%.
  • The paper title has not been changed.
  • The author names and order remain unchanged.
  • The manuscript has been verified using IEEE PDF eXpress (Conference ID: 70425X).
  • The final PDF has been renamed as SPICES_XXXX.pdf.
  • The Camera Ready Paper has been uploaded to CMT.
  • The IEEE Electronic Copyright Form has been completed and uploaded.

Important Deadline

Last Date for Camera Ready Paper Submission: 31 August 2026

Authors are strongly encouraged to complete the submission process well before the deadline to avoid last-minute technical issues.
